#1 To begin with, the chapters “Organizational capability: Structure, Culture and Roles”, “Leading and Managing Project Teams” and “Stakeholder Analysis and communication” covered several topics and I want to discuss about few important topics. There are three types of organizational structure i.e. functional organization, Projectized and Matrix style. They all have their different kinds of pros and cons but value serves as main concentration.
“Values serve as a moral compass to guide us and provide a frame of reference to set priorities and determine right or wrong” – (Kloppenborg, T., Anantatmula, V., & Wells, K. (2019). After studying parent organizational, culture the project manager should consider few questions such as:
What is the corporate culture in general? What are the ascribed values? How does the organization like to communicate internally and externally? Are there standard project management practices and policies? How well does the organization support project management specifically?
Developing a project team is a crucial aspect and it is “the process of improving the competencies, team member interaction, and overall environment to enhance project performance” – Kloppenborg, T., Anantatmula, V., & Wells, K. (2019). There are six activities to be considered i.e.
Understand stages of project team development Understand characteristics of high-performing project teams Assess individual member capability Assess project team capability Build both individual and team capability Establishing team ground rules
“Culture patterns differ in various parts of the world, so project team members need to be more sensitive as to how their actions are interpreted” Kloppenborg, T., Anantatmula, V., & Wells, K. (2019). By following these methods we can start a project which is often separated as phases such as Forming, storming, performing and Norming.
I personally felt organization structure plays a vital role and Matrix organizational structure where it deals with several departments which even has vice president for projects. It has several advantages over other organizational structures. One of the main advantage is both project and functional managers are involved which helps in an effective communication and getting productive data. Besides, i felt Plan-do-check-act (PDCA) model can get better results with matrix type organizational structure. By above-mentioned topics, free and open communication would be possible within the team where it encourages the willingness to challenge and even for new concepts. So, by implementing these practices in my current project, I want to check real-time advantages as well.
#2 Among the several topics in this week’s assignment, there are two concepts and topics that I feel valuable to mention in this week’s reflection and discussion — first, project culture and norm. Kloppenborg, Anantatmula, &Wells (2019)mentioned that project sponsors and managers have to understand the politic and organizational culture that could impact the project. The authors provided detail of organizational culture as they can informally impact the project in several ways, including 1) motivation and communication of the manager and team, 2) how people are treated and rewarded, 3) how the corporation manage conflict and decision making in the organization, and 4) encouraging personal commitment to the project. The authors further explained about the different types of power that could help and understand the type of corporate culture. Second, the challenges of working on global projects. The authors touched upon three topics, 1) virtual team – the project could not rely on the traditional way of communication, face to face. The communication technology in now play an essential role in the contemporary project management., 2) cultural difference.- The authors raised an excellent point that the project team could not interact traditionally. The project manager working in the virtual team has to be mindful of cultural differences, 3) countries, and project communication preference. The authors mentioned that different countries could mean the different preference in project communication. It is the responsibility of the project manager must understand the difference and identify the appropriate mitigation action, such as documenting any decision.
Personal Reflection
The expansion of globalization and increase in internet & collaboration tools has introduced a new aspect of the challenge in terms of project management, including project team members who are working across the globe & regions of different cultures and time zones. In my current organization, the challenge has become the issue, especially managing project communication plan and project control activities, especially the diversity of project stakeholders and project team’s locations, time zones, cultures and languages.
Communication Challenge of Virtual Team
As my current organizations continue to expand their operations globally to stay competitive or find new opportunities beyond existing customer groups and geographical boundaries, globalization creates both benefits and challenges to the traditional way of managing projects. This week’s assigned reading is an excellent example of the challenges that global programs and organizations have to face. With the virtual team, the project team could collaborate with other team members without relying on face-to-face interaction. On the positive side, these virtual teams provide a cost-effective solution, reduced travel time, more flexible working hours, etc. However, there are some issues that we need to be aware of including ineffective communication due to lack of non-verbal communication, lack of visibility of the team member’s work and workload, and team conflict while challenging to detect and manage etc.(Mattus,2010). Binder (2007) mentioned these challenges project team and stakeholders where they are in different time zones, cultures, land geographical borders. Moreover, the multicultural factor can increase the level of complexity of the global project on the conflicting views on the values and behaviors of the project team.
My final though is that an organization could improve its global project governance and project team’s performance. First, we could better align our program governance with corporate governance and include top management from our company headquarter, German and the US. This program governance should establish standard policies, vision and deliver expected benefits. Considering the cultural difference, we could improve the documentation processes for all project communication and decisions. Second, we should implement the project management processes and tools to allow all the projects team member could efficiently manage and communicated virtually. Lastly, we could develop and promote a global project management culture to ensure the practices are aligned with a common standard throughout the organization.supply chain management: assignment help philadelphia
