Writing Directions
Overview: This document will be a set of safety or procedure directions related to your personal career area (AMTEC, Cosmetology, Business, Accounting, etc.). The document will be typed in MS Word with a 11 or 12 point font in Times New Roman or Arial. The document will be fit on one page and contain three paragraphs. Please see below for paragraph content:
Research: Think about a common problem or issue regarding safety or directions in your career field or current job. How could you help your colleagues complete this process and stay safe without having to verbally state the directions repeatedly? Find a resource regarding a safety procedure or directions for a task/process or equipment operation in your career field. Keep this as a reference for your document.
Heading: Set this document up as an e-mail to your employees. Include the headings you would normally use in an e-mail: To (your team), From (you as a supervisor), Date (current date), Subject. Make sure the subject line is a title that clearly defines the purpose of the document. An example might be: Safety Directions for Operating a Welding Plasma Arc Cutter.
Paragraph 1 (Opening/Introduction): This paragraph will have 2 – 3 sentences, which greet the audience and set up the purpose of the document, which is safety. Keep the tone positive and helpful. Avoid the use of “I statements.” Greet your audience with courteousness and a set a positive tone for the rest of the document.
Paragraph 2 (Body/Details): This paragraph will need a lead-in sentence followed by a set of directions with enumerated items. The list of directions or procedures should be in order from top to bottom with five to ten items. Keep the enumeration phrases brief and to the point. You can use your research source and paraphrase from that information. Remember, your audience wants the content to be easy to read and straightforward! Consider adding your resource citation for the audience as a link in your document so they can read and learn more.
Paragraph 3 (Closing/Action): This is your final paragraph where you motivate the reader to comply with the information you have provided. Offer an encouraging comment on how the safety procedure benefits everyone. Also, be sure to provide a contact name and phone in case the reader has further questions. You can also use this paragraph to provide the reader with links to additional or supplemental information on your company’s web page about training opportunities and safety information.
Submit: Be sure you proofread before uploading your final draft. The document should be prepared using Microsoft Word using 11 or 12 point font in Times New Roman or Arial. The document should fit on one page. Please upload the file rather than cutting and pasting as text.
