Task:

Situation:
One day I was called by my manager over phone, while working on a project, and she wanted me to lead a new project.

Listening to my manager's words I got elated, as this was the first time I would be leading the project so immediately said yes and in excitement missed half of the requirements. She clearly explained me the requirements that we are required to work on the key 50 reports of XYZ folder but I interpreted that we have to work on all reports of XYZ folder. As in total, there were 250 reports.

My manager again dropped me a mail and clarified that we have to work on the reports of the XYZ folder, so provide me an estimate with the number of members and days required for accomplishing this task.

It took me around two days to analyse and later provided the plan that that we need three more members and twenty days to complete the task.

In my detailed analysis, I assumed that we can do four reports per day, so a total of four people can complete 250 reports in fifteen days and will have three days for the testing team to verify and later two days for the customer to validate.

As requested, I was allocated a three-member team and with whom I was working for the first time and was not aware about their skills. But with the time constraint, I thought everybody would be completely aware about the tool so blindly allocated task to them. But unfortunately, one of the team member who was new to this tool and moreover did not share this info with the team. But with his struggle of 3 to 4 days he overcome gradually.

Eventually, not only the project was delayed by ten days but also when we had the customer validation, they were in complete shock with the project deliverable as we were required to work only on 50 reports not entire 250 reports, consequently led to the rework of all 200 reports that caused huge loss in terms of time and cost.

Analysis:
Throughout this situation, there has been lot of loopholes in the communication process that I am analysing with the help of Active Listening and Perceptual model whereas I am using Growth Mindset model to illustrate the strengths of my communication.

1. Active listening: Due to excitement, I misinterpreted the entire requirement that lead to the huge loss of time and money.
2. Perceptual model of communication: Interpreted that we have to work on all reports and did not verified with the manager for the exact requirement.
