For this module, you will read and learn about not only the importance of audience and purpose in technical writing, but also about how it pertains to writing varies types of business correspondence. This includes formats and types of business letters, memos, and email. Your first assignment will consist of writing two letters based upon scenarios that I provide you with. First, however, please pay attention to the following notes. They will provide you with an overall understanding of the purpose of business/technical communications, which includes the managerial functions of communications, the criteria for an effective message, trends common in business administration that can impact how we communicate in this discourse community, understanding and analyzing business/technical communication situations, benefits of effective communication, criteria for effective messages, communications barriers and how to overcome them, and building goodwill with clients and customers using the “you attitude,” positive emphasis, and reducing bias in business communications. So, begin with reading chapter 1 and 5 in your Technical Communication text and my lecture notes below:
As you read through the following lecture notes and chapters, you need to pay close attention to the letter formats (Full Block and Modified Block), as well as the type of letters you will be writing; these include letter of inquiry, claim letter, negative and positive adjustment letters. Examples of each letter are provided in the text, and it is vital that you follow those formats when doing your first assignment. At some point, you will write them for real in a business environment. Also, pay close attention to the formatting of a memo and how memos are arranged. Standard memo format can be found within Chapter 14 under the memo subsection.
Readings:
Read chapter 14 in the Technical Communication text. I also suggest reading chapter 10 for information on writing correct and effective sentences.
Lecture Notes:
For this assignment, you will write a negative adjustment letter using modified block format (25 pts) and a claim letter using block format (25 points). The scenarios that you will use to complete this assignment are located on page 387 of your text. Do exercise 1 and 3. Examples of these types of letters are located on page 375 (negative adjustment letter) and 373 (claim letter) of your text. I do NOT want more than a page for either. Follow the format precisely. Make up details such as the name of the person receiving the letter and his/her address. You can also make up the letter head of the company you represent and the address.
